Welcome to JetInbox
JetInbox is an AI-powered email assistant built specifically for aviation professionals. Whether you’re in MRO, airline operations, parts trading, or leasing — JetInbox helps you write clear, professional emails in seconds using the correct aviation terminology.
What makes JetInbox different?
Unlike generic AI tools, JetInbox understands aviation. It knows that “serviceable” and “airworthy” have different meanings. It knows an AOG situation requires a different tone than a routine quote request. It adapts to your audience — whether you’re emailing a regulator, a customer, or a colleague.

First Login
If you received an invite
Your administrator has already created your account. Check your email for a message from JetInbox with the subject line “You’re invited to join [Company Name] on JetInbox”.
Click the invite link
The link in your email will take you directly to JetInbox where you’ll set your password.
Set your password
Choose a secure password. You’ll use this along with your email address to log in.
You’re in
Once your password is set, you’ll be taken straight to JetInbox. Your account is already linked to your team’s organisation.
If your invite link has expired, ask your administrator to resend it, or contact [email protected]
If you signed up directly
After completing the trial signup, you’ll receive a welcome email with your login credentials. Your 60-day free trial starts immediately.
Onboarding Wizard
The first time you log in, JetInbox guides you through a quick setup process. This takes about 2-3 minutes and helps personalise your experience.
Welcome & Goal Selection
Tell us your primary goal — whether that’s saving time on routine emails, improving consistency across your team, or supporting non-native English speakers. This helps us tailor tips and suggestions.
Team Setup (Admins only)
If you’re the account administrator, you can invite team members here. Enter their email addresses and they’ll receive invites automatically. You can always add more team members later.
Personalisation
Set your company name, select your industry sector, and choose your default communication style. These settings influence how JetInbox generates emails for you.
Your First Email
Generate a sample email to see JetInbox in action. Don’t worry — this is just practice. You can try different scenarios to get comfortable with the interface.
Next Steps
Choose whether to import our starter glossary of aviation terms, and learn about additional features like Brand Voice (for consistent company tone) and the team dashboard.
You can skip the onboarding wizard and come back to these settings anytime via the Preferences menu. However, we recommend completing it — the personalisation makes a noticeable difference in email quality.
Generating Your First Email
The email generation wizard is where the magic happens. Here’s how to use it:
Step 1: Select Your Audience
Who are you emailing? JetInbox adjusts tone, formality, and terminology based on your selection:
Aviation-Specific Audiences
- Parts Supplier/Trader — Direct, technical, transactional. For RFQs, AOG requests, parts availability, pricing negotiations
- Aircraft Lessor — Formal, precise, contract-aware. For lease agreements, redelivery, maintenance reserves, compliance
- MRO Customer — Professional, service-oriented. For maintenance proposals, inspection reports, TAT updates
- Airline Operations — Efficient, operationally focused. For AOG notifications, schedule coordination, technical delays
- OEM/Manufacturer — Technically precise, formal. For warranty claims, service bulletins, engineering queries
Internal Audiences
- Manager — Professional, concise. For status updates, approval requests, escalations
- Colleagues — Friendly yet professional. For collaboration, coordination, project updates
Customer/Sales Audiences
- New Customer/Lead — Warm, persuasive, value-driven. For outreach, proposals, onboarding
- Existing Customer — Helpful, relationship-focused. For support, service updates, retention
Step 2: Describe Your Email
In the context box, describe what you want to say. You can be brief — JetInbox will ask for clarification if it needs more information.
“Quote follow-up for 737NG main landing gear. Customer is Delta. Original quote sent 2 weeks ago for $45,000. Need to check if they’re still interested or if pricing needs adjustment.”
Step 3: Choose Communication Style
Select how detailed you want the output:
Ultra-Brief
Maximum brevity. Essential information only. Perfect for AOG situations or quick internal updates.
Standard
Balanced approach. Professional and complete without being verbose. Best for most business communication.
Comprehensive
Detailed and thorough. Full context and explanations. Ideal for proposals, compliance matters, or formal documentation.
Step 4: Generate
Click the Generate button. JetInbox will analyse your input (this is called Pre-Flight — more on that below) and then produce your email.
Understanding Your Results
Pre-Flight Analysis
Before generating, JetInbox runs a “Pre-Flight” check on your input. This catches common issues that would result in a generic or incomplete email:
- Missing information — Part numbers, dates, quantities that would make the email vague
- Audience mismatch — You selected “Customer” but your context sounds like an internal message
- Conflicting details — Inconsistent information that needs clarification
If Pre-Flight detects an issue, you’ll see a prompt asking you to add the missing details. This isn’t JetInbox being difficult — it’s preventing you from sending an email you’d need to follow up on.
In aviation, vague communication causes delays, misunderstandings, and compliance issues. Pre-Flight ensures your emails are specific enough to get results first time.
Your Generated Email
Once Pre-Flight passes, you’ll see your generated email with:
- Subject line — Clear, professional, includes key details
- Email body — Properly structured with appropriate greeting and sign-off
- Copy buttons — One-click copy for the whole email or just the body
Not quite right?
Use the Refine options to adjust the output:
- Make it shorter / longer — Adjust the level of detail
- Change tone — More formal, more friendly, more urgent
- Change style — Switch between Ultra-Brief, Standard, and Comprehensive
- Regenerate — Get a completely fresh version
