Manage your team, glossary, and brand voice settings

Team Members

Invite your team to JetInbox so everyone can generate professional aviation emails with consistent terminology and brand voice.

Inviting Team Members

Account administrators can invite team members from Settings → Team.

Enter Email Address

Enter your team member’s work email address. They’ll receive an invitation with instructions to join.

Select Role

Choose whether they’ll be a regular Member or an Admin with additional permissions.

Send Invitation

Click Send. They’ll receive an email with a secure link to create their account.

They Accept & Join

Once they click the link and set up their password, they’re part of your team.

Managing Team Members

From the Team page, administrators can:

  • View all team members — See who’s on your team and their roles
  • Change roles — Promote members to Admin or demote as needed
  • Remove members — Remove someone who’s left the team
  • Resend invitations — If someone didn’t receive their invite
  • Cancel pending invites — Revoke invitations that haven’t been accepted

Roles & Permissions

JetInbox has two user roles: Admin and Member. Each has different capabilities.

Account Owner

The person who created the account is the Owner. Owners have Admin privileges and cannot be removed or demoted by other Admins.

Changing Roles

Admins can change a team member’s role from Settings → Team. Click on a team member and select their new role.

Recommendation

Keep the number of Admins small. Most team members only need Member access to generate emails with your organisation’s glossary and brand voice.

Glossary

The glossary is your organisation’s custom terminology database. When JetInbox generates emails, it uses your glossary to ensure consistent, accurate terminology across all team members.

Admin Only

Only Admins can add, edit, or delete glossary terms. All team members benefit from the glossary when generating emails.

What to Add to Your Glossary

📦 Part Numbers & References

Your company’s specific part numbering conventions, internal reference codes, and product identifiers.

🏢 Company-Specific Terms

Internal project names, department codes, process names, and proprietary terminology.

✈️ Aviation Terminology

Specific interpretations of aviation terms, preferred abbreviations, and regional variations.

👥 Customer & Partner Names

Correct spelling of key customers, partners, and suppliers to avoid embarrassing mistakes.

Adding a Glossary Term

Navigate to Settings → Glossary and click Add Term.

Term The word or phrase (e.g., “TAT”)
Definition What it means (e.g., “Turnaround Time – the time from receipt to return of a component”)
AI Instructions How JetInbox should use it (e.g., “Always capitalise. Use in maintenance and MRO contexts.”)

AI Glossary Suggestions

JetInbox can analyse your email generation history and suggest terms that should be added to your glossary. Look for the Suggestions tab on the Glossary page.

Starter Glossary

During onboarding, you can import a starter glossary with common aviation terms. This gives you a foundation to build on.

Pre-Flight Analysis

Before generating your email, JetInbox runs a “Pre-Flight” check — just like pilots do before takeoff. This catches issues that would result in a vague, incomplete, or misdirected email.

What Pre-Flight Checks

Missing Information

Detects when critical details are absent — part numbers, dates, quantities, prices, registration numbers.

Example: “Send quote for landing gear” → Missing: P/N, condition, quantity, customer name

Audience Mismatch

Identifies when your selected audience doesn’t match the content of your message.

Example: Selected “Aircraft Lessor” but context sounds like internal team coordination

Catches inconsistencies in your input that would confuse the recipient or generate an incoherent email.

Example: Mentioning two different MSN numbers or contradictory dates

Alerts you when your context could apply to multiple audience types, letting you confirm the right one.

Example: Quote request could be for Parts Supplier OR MRO Customer

How to Respond to Pre-Flight Prompts

When Pre-Flight detects an issue, you’ll see a prompt explaining what’s needed. You have options:

  • Add the missing information — Update your context with the requested details and regenerate
  • Proceed anyway — If you intentionally want a general email, you can override (though results may be vague)
  • Change audience — If audience mismatch is detected, switch to the suggested audience

Why This Matters in Aviation

In aviation, vague communication causes delays, misunderstandings, and compliance issues. A quote without a part number wastes everyone’s time. Pre-Flight ensures your emails get results on the first attempt.

Disabling Smart Detection

If you find Pre-Flight too aggressive for your workflow, you can disable “Smart Audience Detection” in your Preferences. This will reduce the number of prompts but may result in less accurate audience matching.

Keep Smart Detection enabled, especially when you’re new to JetInbox. It helps you learn what information makes for effective aviation communication.

Organization Settings

Admins can configure organisation-wide settings from Settings → Organization.

🏢 Company Name

Your organisation’s name as it should appear in communications and the dashboard.

🏭 Industry

Your primary industry sector. Helps JetInbox tailor terminology and tone.

🌍 Default Language

The default English variant (US or UK) for your organisation.

📊 Usage Tracking

View email generation counts and usage against your plan limits.

Plan & Billing

Manage your subscription, view invoices, and update payment methods from Settings → Billing.
